This Privacy Policy explains how RedSwitch collects, uses, stores, shares and protects personal information in connection with its website, quotations, bookings and automotive services, in line with applicable South African law, including the Protection of Personal Information Act, 2013 (POPIA).

Information we collect

  • Identity and contact information, such as your name, surname, phone number, email address and billing details.
  • Vehicle and job information, including make, model, registration number, VIN, mileage, service history you provide, photographs and videos, and condition reports.
  • Quotation, booking and transaction information, including invoices, payment records and service notes.
  • Communications with you by email, phone, WhatsApp, website forms or social media.
  • Website usage information, cookies and analytics data.
  • Advertising and measurement data collected through tracking pixels, including the Meta (Facebook) Pixel - such as pages viewed, buttons clicked, quote requests and other actions taken on the website, together with cookie, device and browser identifiers, as described in 'Advertising and the Meta Pixel' below.
  • CCTV and workshop security footage recorded at our premises for security and safety purposes.

How we use personal information

  • To prepare quotations, confirm bookings and perform services.
  • To communicate about your vehicle, your booking, delays, aftercare and warranty matters.
  • To issue invoices, process payments, collect amounts due and manage accounts.
  • To keep job records, quality-control records and evidence for warranty or dispute purposes.
  • To protect the business against fraud, theft, abuse, non-payment and security risks.
  • To comply with legal, tax, insurance and regulatory obligations.
  • To send marketing communications only where permitted by law, and subject to your right to opt out.

Lawful basis for processing

Where required by POPIA, RedSwitch processes personal information on the basis of contract performance, legal obligations, legitimate business interests and consent where consent is required.

When we share information

  • With employees, contractors and service providers who need the information to perform their functions.
  • With payment processors, accountants, insurers, legal advisers, debt recovery providers and IT or cloud service providers.
  • With couriers, suppliers or specialist subcontractors where necessary to complete a job.
  • With advertising, analytics and social media platforms - in particular Meta Platforms, Inc. (Facebook and Instagram) - through tracking pixels used to measure and target advertising, as described in 'Advertising and the Meta Pixel'.
  • With Web3Forms, the third-party service that delivers the email route of the website quote form to the RedSwitch studio inbox, as described in 'Website quote form' below.
  • With regulators, law-enforcement authorities or courts where disclosure is required by law.
  • RedSwitch does not sell personal information.

Vehicle photographs, videos and marketing use

RedSwitch photographs and records vehicles before, during and after work for intake records, quality control, progress updates, warranty administration and dispute resolution. RedSwitch also uses these photographs and videos for marketing, including on our website and social media. Unless you tell us otherwise, we assume you are comfortable with this use. If you do not want images of your vehicle used for marketing, please let us know before work begins and we will not use them for that purpose.

Retention of information

  • RedSwitch keeps personal information only for as long as reasonably necessary for the purpose for which it was collected, and for longer where required by tax, accounting, warranty, insurance or legal obligations.
  • Job records, intake images and communications may be retained to manage repeat business, complaints, warranty claims and disputes.
  • RedSwitch does not retain personal information for its own records at this stage. If this changes, we will retain it only for as long as reasonably necessary and in line with standard practice and RedSwitch's legitimate interests, and we will update this policy accordingly.

Security safeguards

RedSwitch will take reasonable technical and organisational measures to secure personal information against loss, misuse, unauthorised access, disclosure or destruction. No system is completely secure, but RedSwitch will act reasonably and, where legally required, notify affected persons and authorities of a security compromise.

Your rights

  • You may request access to your personal information.
  • You may ask for correction of inaccurate or incomplete information.
  • You may object to certain processing or request deletion where the law allows.
  • You may withdraw consent where processing is based on consent.
  • You may opt out of direct marketing at any time.
  • You may lodge a complaint with the Information Regulator (South Africa).

Cross-border transfers

RedSwitch does not otherwise transfer personal information outside South Africa at this stage, with two exceptions. First, the Meta (Facebook) Pixel used on this website sends information to Meta Platforms, Inc., which processes it in the United States (see 'Advertising and the Meta Pixel'). Second, where you use the email route of the website quote form, the submission is delivered by Web3Forms, which processes it on servers outside South Africa (see 'Website quote form'). Where cross-border processing occurs, RedSwitch will take the steps required by POPIA to ensure an adequate level of protection or to rely on another lawful ground, such as your consent. If RedSwitch introduces other cloud, software or service providers that process personal information outside South Africa, this policy will be updated accordingly.

Cookies and website tools

The website may use cookies, analytics and other essential website tools. It also uses third-party advertising and measurement cookies, including the Meta (Facebook) Pixel described below. You can manage cookies through your browser settings, but some website functions may not work properly if cookies are disabled.

Website quote form

The quote form on this website offers two ways to reach the studio, and they handle your details differently. If you choose WhatsApp, the details you enter are assembled into a message inside your own browser and handed to WhatsApp to send. The website itself keeps no copy, and RedSwitch receives the information only once you actually send that message.

If you choose to email the studio instead, the details you enter - your name, vehicle, email address, the service selected and any notes you add - are submitted to Web3Forms, a third-party form-delivery service, which forwards them to the RedSwitch studio inbox and sets your email address as the reply-to address. Web3Forms acts as an operator processing this information on behalf of RedSwitch for the sole purpose of delivering your enquiry; its own terms and privacy practices govern how it handles the submission in transit.

An email address is required only for this second route. Web3Forms processes submissions outside South Africa - see 'Cross-border transfers'. Enquiries received either way are used to respond to you and to prepare a quotation, as described in 'How we use personal information' above.

Advertising and the Meta Pixel

The website uses the Meta (Facebook) Pixel, a tool provided by Meta Platforms, Inc., to measure the effectiveness of our advertising, understand how visitors use the website, and show relevant ads to people who have visited the site (re-marketing). The Pixel records actions you take on the website - such as viewing pages, requesting a quote or clicking to contact us - and associates them with cookies and device or browser identifiers.

We do not use Meta's Automatic Advanced Matching. The Pixel is not configured to collect the details you enter into our forms, such as your name, email address or phone number, and we do not send that information to Meta through the Pixel.

Meta acts as a separate responsible party for the information it receives and processes it under its own data policy. Meta is based in the United States, so this involves a cross-border transfer of the limited information described above - see 'Cross-border transfers'.

  • You can control this processing through your browser and device settings, including cookie controls and ad or tracking-prevention settings.
  • You can manage the ads you see and your advertising preferences within your Facebook or Instagram account settings.
  • You may opt out of this processing at any time; where it relies on your consent, you may also withdraw that consent.

Changes to this policy

RedSwitch may update this Privacy Policy from time to time. The latest version will be published on the website with the updated effective date.
